FHS-PK | EndNote 21: A Step-by-Step Guide: Inserting In-Text Citation

EndNote is a reference management tool designed to help researchers organize, manage, and cite their references efficiently.

Inserting In-Text Citation

In-Text Citation

In APA style, in-text citations are included within the body of your work to provide a concise reference to the sources of your information. These citations guide readers to the full details of the source in the reference list.

An in-text citation should be included whenever you directly quote or paraphrase content from another work.

There are two main formats for in-text citations:

  1. Parenthetical Citation: The author's name, publication year, and, if applicable, the page number, are placed in parentheses at the end of the sentence.

    • Example: The results indicated that “all participants unanimously and overwhelmingly agreed that workshops/seminars are the most effective IL delivery method for faculty and clinicians” (Ullah & Ameen, 2019, p. 361).
  2. Narrative Citation: The author's name is integrated into the sentence, followed by the publication year and, if applicable, the page number in parentheses.

    • Example: Ullah and Ameen (2019, p. 361) found that “all participants unanimously and overwhelmingly agreed that workshops/seminars are the most effective IL delivery method for faculty and clinicians.

Follow the following steps to insert in-text citation:

  • Open your EndNote Library and ensure it is active.
  • In your Word document, place the cursor at the exact location where you want the in-text citation to be inserted

  • Click on "Go to EndNote" in your Word document.

  • In EndNote, select the correct reference by clicking on it to highlight.
  • Click the "Insert Citation" icon to add the in-text citation to your document.

EndNote will automatically format both the in-text citation and the corresponding reference. The reference will only be added the first time the source is cited in your assignment. Additionally, EndNote will organize all references alphabetically at the end of the document.

Editing an In-Text Citation to Include Page Numbers

When citing certain sources, you may need to include page numbers. To add this information:

  • Position the cursor within the relevant in-text citation.
  • Click on "Edit & Manage Citation(s)" from the EndNote toolbar.

A pop-up window will appear after selecting "Edit & Manage Citation(s)." Enter the page number or range in the appropriate field, then click OK. For sources in HTML format, where page numbers are unavailable, counted paragraphs must be provided. In the Suffix field, enter a comma, followed by a space, then type "para." and the paragraph number.

EndNote will display the page or paragraph numbers in the in-text citation. If the quoted or paraphrased material spans more than one page, EndNote will automatically use "pp." for multiple pages instead of "p." for a single page.

Inserting and Editing an In-Text Citation to Change the Format to a Narrative Citation

  • Place the cursor where you want the narrative citation to appear, typically at the beginning of the sentence.
  • In the EndNote tab in Word, click on "Go to EndNote."
  • Highlight the correct reference, then click the "Insert Citation" icon to add the in-text citation for your quote or paraphrase.

  • To change the citation format to a narrative style (where the author's name appears outside the brackets), position the cursor in the citation that needs editing.
  • In the EndNote tab, click "Edit & Manage Citation(s)."

  • A pop-up window will appear. In the formatting box, select "Display as Author (Year)" and, if appropriate, enter the page number where the quote or paraphrase originates.
  • Click OK to apply the changes.
